Move Documents to a Workspace
A workspace is a collaborative area where team members can work together on reports and documents to achieve a specific goal.
You can either move local Word, Excel, and PowerPoint documents to a workspace, or migrate documents between workspaces.
You can move documents to a workspace that you have proper permissions.
To move a document to a workspace:
- Open a document from your local disk, or open a document from the Disclosure Management website.
- On the ribbon, select the JP DM tab and click Move to Workspace.
- Type the email address of your insightsoftware account in the Login window if it prompts and click Continue.

JP DM displays the Move to Workspace panel, showing the workspaces you can access with some additional information about each workspace: when it was created, how many team members are working in the workspace, and the documents it currently contains.
- When you are moving a document that is already in a workspace, its current workspace is displayed. You can review the workspace details too.
- Select the target workspace where you want to move the document, then click Next.

In Step 2 of the moving process, select the scope of the document, whether it can be referenced by all reports within the workspace or a single report only.
- Click Move here, then in the prompt message box, click Yes.
Note:
- A user with a Viewer license cannot move documents to a workspace.
- Documents must be closed in the Office add-in before moving between workspaces. If a document is open during a move operation, the move may fail due to a limitation in how SharePoint handles open file locks. Close the document after initiating a move. Moving may also take significant time depending on file size and SharePoint configuration.
- When moving documents that contain variables with different scopes (document-scoped vs. workspace-scoped), review variable scope assignments after the move to ensure they are correctly aligned with the destination workspace. When moving between workspaces, JP DM removes the previously defined scope. If the document contains workspace-scoped variables, you will be asked whether to preserve or remove the variable scope.
