Work with Workflows in a Workspace

In each workspace on the Disclosure Management website, users with the Power User or Admin license type can create and edit workflows, and then assign the workflows to reports in the workspace. A workflow enables you to organize the reporting process into manageable phases.

Note: Users with the Power User license can only create and edit workflows in the workspaces they own. Admin users can work with workflows in all workspaces of the organization.

Create a Workflow in a Workspace

  1. Select Workspace on the right navigation bar of the Disclosure Management website.
  2. In the Workspaces landing page, click the workspace card in which you want to create the workflow.
  3. Switch to the Workflows tab, then click the Create workflow button. The Create workflow page displays.

  4. In the Name field, type a name for the workflow. The name has to be unique.
  5. Click + milestone to add the first milestone of the workflow.

  6. Define the milestone.
    1. Type the milestone name in the Name field.
    2. In the Days field, specify how many days before the report due date this milestone should be completed.
    3. From the Contributors and Approvers drop-down list, select the contributors and approvers of the milestone respectively. If you want, you can assign reviewers of the milestone. You can select from users in the current workspace only.

      Note: You cannot assign users with Read-only workspace access as contributors or approvers.

  7. Click + Milestone to add more milestones. You can add no more than 20 milestones for a workflow. To delete a milestone, click Remove at the top right of the milestone box.
  8. Click the Create workflow button at the bottom to create the workflow.

Edit a Workflow

  1. Open the workspace containing the workflow on the Disclosure Management website.
  2. Click the workflow card. The workflow page displays.

  3. Edit the name of the workflow and modify the existing milestones as you want.
  4. You can click + Milestone to add more milestone to the workflow.
  5. Click the Update button at the bottom to apply the changes.
  6. Click the trash can icon at the top right corner of the workflow page if you want to delete the workflow.

Note: The changes you've made to a workflow does not have any impact on the reports to which you have assigned the workflow. If you want to reflect the changes on your reports, you need to reassign the workflow.

Assign Workflows to a Report

While editing the details of a report on the Disclosure Management website, you can assign a workflow to the report or different workflows to each section of the report. See Manage Report Details.
