Manage Report Details

On the Disclosure Management website, users with the Power User or Admin license type can manage the details of a report file by means of :

  • Assigning workflow to the report.
  • Viewing and updating the status of each workflow milestone.
  • Viewing the supplemental documents of the report.
  • Adding an XBRL project for the report to associate it with an SEC or ESMA taxonomy, in order to tag the report against the taxonomy.
  • Opening the report and supplemental documents in the desktop application.
  • Modifying properties of the report and supplemental documents, such as the document name.
  • Downloading the report.
  • Rolling forward the report.
  • Publishing revisions for the report.

Note: Users with the Power User license can only manage details for reports in the workspaces they own. Admin users can manage the details of reports in all workspaces of the organization.

  1. From your dashboard or the Files tab in a workspace, click in the report row. The details page of the report displays.

  2. The panel on the top shows some basic information about the report, such as the report name, the creation date of the report, how many files it references, and the workspace it is saved in. You can click the buttons on the bottom right of the panel to work with the report as follows:
    • Click Open to open the report in your Word application.
    • Click Download and select Publish new version to publish the latest version of the report to a PDF file, or select Last Published to download the last PDF you have published for the report.
    • Click the ellipsis to perform the following actions:
      • Open
        Opens the report in Word.
      • Roll-forward
        Creates a complete copy of the report. See Roll Forward a Report.
      • Edit
        Edits the report properties such as report name, due date, and description.
      • Delete
        Deletes the file from the workspace it resides in.
      • Revisions
        Publishes revisions for the report. See Publish Report Revisions.
  3. The Outline panel displays the report sections defined via the JP DM Word add-in. You can click the Assign button on the report root node or each top-level section node to assign a workflow to the entire report or to the sections respectively. To assign a workflow:
    1. In the Assign workflow dialog, select the workflow you want to use from the Workflow drop-down list, where all workflows you have created in the current workspace are listed.

    2. When assigning workflow on the report root node, you can specify whether to assign the workflow to the report only or all sections as well. If you select Assign workflow to document and all sections, you can no longer assign separate workflows to the report sections.
    3. Type optional instructions.
    4. Click Assign.
  4. The Workflow Status tab in the right box shows workflow details of the selected node in the report outline.

    You can update the status as follows:

    • Click Change to apply another workflow.
    • Click the number representing a milestone to switch to that milestone.
    • Click the due date of each milestone to edit the date.
    • Click Edit of the assignees to assign more or other people to the selected milestone. Select Update workflow locally or Push modification to the workflow template based on your requirements.
    • The assignees can update the status once they complete their part. The report owner can click the Force Complete button to complete any stage.
    • Click the Complete milestone button to finish a milestone when all assignees of the milestone complete their review.
    • When all milestones of the workflow are completed, the Sign off report button displays. Click it to sign off the report.
  5. In the Supplemental Document tab, you can view the documents the report references and perform the same actions to the documents as you would do in your dashboard.

  6. In the XBRL Projects tab, you can create an XBRL project for the report to associate it with an SEC or ESMA taxonomy.

    1. Click Create Project. The Create New Project wizard displays.

    2. The first step is to define basic information about the project:
      • Project Name - Type a name for the project.
      • Regulator - Select from the drop-down list the regulator you will report to, SEC or ESMA.
      • File Type - Select from the drop-down list the form type of your filing report. To report to SEC, you can select from 10-K Annual, 10-K Quarterly, 8-K Current, and 20-F Foreign; to report to ESMA, the type can be Annual Financial or Half-Year.
      • Fiscal Year End - Click the calendar icon to specify the end date of your reporting fiscal year.
      • Due Date - Click the calendar icon to specify the due date of your filing report.
    3. Click Next to go to the Report & Taxonomy step.

    4. In the Taxonomy Starting Point box, select from the available taxonomies to use for the report.
    5. If you have an iXBRL inline HTML document of a previous filing for the report, you can select Include a past filing as reference and upload the document to the project. This can help JP DM to prepopulate the tagging mappings and thus provide more accurate tag suggestions for the report in the XBRL Hub.
    6. Once you select an extension taxonomy, the prefix (for SEC)/short name (for ESMA) and URI of the company defined in the extension taxonomy are automatically displayed in the Extension Taxonomy Settings box. Select the end of the reporting period, the taxonomy namespace is automatically populated.
    7. Click Next. The Entity & Periods step opens.

    8. In the Entity Identifier box, specify the CIK number (for SEC)/LEI code (for ESMA) and name of the reporting entity. You cannot change the identifier type.
    9. Review the reporting periods if you want.
    10. Click Next.
    11. In the Units & Transforms step, review configuration of the element types defined in the extension taxonomy.

    12. Click Create Project. The report is now associated with the specified taxonomy. You can further edit the project if needed.
